    The Ortho Manager will perform a variety of duties within the dental location but will focus primarily on growing revenue and orthodontic case acceptance. A comprehensive list of responsibilities and expectations are detailed below.

    • Responsible for growing Ortho practice by ensuring revenue growth and Case Acceptance. A reasonable target goal is to achieve a minimum of (3) starts per day.
    • Create an environment in assigned region that promotes an Ortho culture. Creates strategic relationships with Office Managers, Regional Mangers, General Dentists and Orthodontists.
    • Provide effective leadership, coaching, and mentoring to Ortho staff in an effort to identify and implement opportunities for improvement and to execute Ortho best practices.
    • Analyze key metrics and recommend addition or subtraction of Orthodontic days/services.
    • Create and maintain relationships with all Orthodontists in each Region.
    • Coach General Dentists and General Office Managers on referral language when identifying orthodontic candidates as part of the exam process.
    • Recruit, manage, develop and evaluate talent. Participate in the hiring of Ortho Assistants and Coordinators (Contribute to employee performance reviews, and conduct performance counseling when appropriate).
    • Report weekly to the Regional Manager, detailing accomplishments, areas for improvement, clear performance goals, and effectiveness of systems, via a detailed reporting document.
    • Maintain an appropriate professional appearance and demeanor in accordance with Company policies.  Ensure compliance with Company policies, as well as State, Federal and other regulatory bodies.
    • Daily, Weekly, Monthly & YTD: Reporting and follow up of Ortho revenue targets, starts, collections, AR/Bad Debt MTD vs Budget/Target to Regional Managers.
    • Participate in monthly meetings with Regional Manager to discuss MTD/YTD Orthodontic P&Ls and set action plan to meet case acceptance (Starts) targets.
    • Work with the Regional Manager, Company Officers, and Office Managers to set goals for Consults, production and collection on a monthly basis.
    • Help regulate office inventory, ordering, usage, and the cost of all office, dental, and lab supplies, materials, tools, and equipment.
    • Work with office staff, managers and doctors on dental services quality standards and customer service.
    • Ensure that all schedules are productively booked. Each Ortho day should have no less than 15 consults scheduled.
    • Assist with recruitment, interviewing, and hiring of all Ortho staff.
    • Supervise all Ortho staff members while in the dental office.
    • Audit Ortho charts in collaboration with General Office Managers and Staff for past due payments.
    • Ensure Insurance, Denti-Cal, and HMO billing is being done accurately and timely.
    • Ensure pre-authorizations are going out in a timely manner.
    • Ensure all patient share portions are being collected and paid in a timely manner.
    • Develop and implement systems for tracking patient treatment plan compliance and ensuring completion within contracted time frame.
    • Monitor patient financing and ensure that all information on the credit applications is filled out completely and verified in accordance with Company policy.
    • Implement and enforce all legal provisions and Company policies and procedures outlined in the Employee Handbook.
    • Prepare safety, risk management, workers’ compensation, and incident reports as necessary and forward all applicable reports to the Support Center.
    • Help resolve patient conflicts in a timely manner. All patient complaints should be addressed within 24 hours in collaboration with Regional Manager.
    • Coordinate, supervise, and/or facilitate team huddles every time you are in an office with all Ortho employees.


    • High School diploma or equivalent (GED) required
    • Minimum 3-5 years of dental office management experience required
    • Knowledge of OSHA and HIPAA Compliance Standards required
    • Advanced knowledge and use of dental terminology required
    • Hands-on experience with computerized billing systems required
    • Minimum typing speed of 30 WPM required
    • College degree in Business Administration or related field preferred
    • Knowledge of and proficiency in finance, human resource management, and principles of business preferred
    • Bilingual: English & Spanish required (if the geographic location of the office does not require the applicant to be bilingual, applicants who only speak English may be considered)
    • Means to travel from one office to another, required as necessary
    • CPR and First-Aid certification preferred
